Overview:
We are seeking a detail-oriented and organized Administrative Assistant to support two divisions within our company. This role will float between both divisions but will be based at one location and report to two supervisors, requiring flexibility, strong communication, and the ability to manage shifting priorities. The ideal candidate is proactive, reliable, and comfortable managing multiple responsibilities in a fast-paced, in-person environment.
Key Responsibilities – Roll-Off Division
· Review, approve, and correct vendor invoices
· Generate and send customer invoices
· Collect weight tickets from drivers and accurately match them to the appropriate customer and project records
· Maintain up-to-date records of all weight ticket data by customer and project
Key Responsibilities – Main Division
· Generate route paperwork for each driver and ensure all documentation is accurate
· Ensure all paperwork includes the correct labels and packaging listed and/or attached
· Communicate effectively with supervisors and teammates to identify and resolve any paperwork or scheduling errors
Shared Key Responsibilities
· Answer incoming customer calls professionally and efficiently
· Schedule service routes as needed and coordinate with drivers/supervisors
· Communicate clearly with internal teams and external customers
· Stay organized and meet deadlines consistently
· Balance workload between two departments with shifting needs
· Must be available Monday through Friday, 8:00 AM – 4:30 PM

· Ability to multitask and prioritize effectively
· Comfortable working under two supervisors and adapting to varied tasks
· Willingness to learn internal systems and processes
· Reliable and punctual with a strong work ethic
· Must be available to work on-site at one location — this is not a remote position
Preferred Qualifications:
· Prior experience in invoicing, dispatching, or administrative support is a plus
· Any LEED-related experience is a plus, especially in documentation or tracking
· Knowledge of universal, medical, and hazardous wastes
· Proficient in Microsoft products (e.g., Outlook, Word, Excel, Teams)
